Privacy Policy
This policy explains what Kaptin collects, how that data is used, and how users can request deletion or contact support.
Overview
- Kaptin is a sports app designed to help users find local matches, see where games are played, and join organized matches as individuals or teams.
- Kaptin does not sell personal data.
- Kaptin does not use personal data for cross-app advertising tracking.
- Kaptin uses account, verification, match, team, venue, and support information only to provide, protect, and support the app.
Information Kaptin may collect
- Account data: email address, authentication identifiers, and session information.
- Sign in with Google or Apple: the name and email address the provider shares with Kaptin, and an account identifier from that provider.
- Phone verification data: phone number, verification status, timestamps, and temporary verification records when phone verification is used.
- Profile and onboarding data: nickname, preferred language, school-stage value, gender, date of birth, or similar profile details if the user provides them.
- Profile details you choose to add: username, city, profile, banner and gallery photos, bio, shirt number, nationality, preferred foot, height, and the sports, positions, clubs, players and competitions you follow or favourite.
- Sports activity data: matches created, matches joined, team participation, organizer notes, and match availability details when those features are used.
- Chat: the messages, photos and voice messages you send, reactions, pinned messages, friends, blocks, and the groups you are in. Location and camera details are removed from photos before they are stored.
- Games in group chats: answers to attendance polls, chosen positions, lineups, payment lists that show who has paid, and the names of guests an organiser adds.
- Online status: when you were last active, shown only to people who share a chat with you. You can hide it in Settings.
- Bookings, payments and orders: venue bookings, store orders and tournament entries, with the amount, payment method and status. Payments are made through a payment provider; Kaptin never receives card numbers or wallet passwords.
- Predictions and cards: your predictions, points and rankings, and the cards you collect and trade.
- Venue data: pitch name, city, area, address, match time, and venue notes when submitted or displayed through the app.
- Support data: messages users send to support, including email address and request details.
- Usage and device data: basic technical information needed for security, abuse prevention, reliability, and troubleshooting.
- App usage: which screens you open and for how long, what you tap, how far you scroll, and whether an action worked, with the app version, platform, language and a random identifier for the installation. It never includes what you type, and it is kept for up to 180 days.
- Notifications: a notification token for your device, with its platform, app version and language, so Kaptin can send the notifications you have not turned off.
Location and distance to nearby venues
- If you choose “Use my location,” Kaptin asks for foreground location access only to calculate the distance between your device and venues that have coordinates. On Android, the app requests approximate location only and does not request precise or background location.
- Your current location is used only in device memory to display distance. Kaptin app code does not store it, send it to Kaptin servers, use it for advertising, or access it in the background.
- If location services or permission are off, or a venue has no coordinates, Kaptin hides the distance. You can use the rest of the app without granting location access.
- The list of places to play is sorted by distance on your device: Kaptin downloads the places’ coordinates and never sends yours.
Crash reports
- When the app crashes or hits an error it cannot recover from, it sends a crash report to Google Firebase Crashlytics so the problem can be found and fixed.
- A crash report holds the error and where in the app it happened, the app version, the device model, the operating system version, and a random installation identifier that Crashlytics creates. It does not include your account, name, email address, phone number, messages, or location.
- Crash reports are sent only from the versions of the app published in the App Store and Google Play, are used only to keep the app working, and are not used for advertising or tracking.
This website and invite links
- Opening a kaptin.net/r/ invite link records the click so Kaptin can measure how invites perform. The record holds the browser type, the browser language, and a hashed form of the IP address, and it is kept for up to 180 days.
- This website sets no cookies, uses no third-party analytics, and loads no content from advertising or tracking companies.
- The rest of this website — the pages you are reading now — records nothing beyond the standard server request logs the hosting provider keeps.

- Verify phone numbers during signup when phone verification is used.
- Show matches, venue details, team availability, organizer notes, and account settings.

- Respond to support, privacy, and deletion requests.
- Maintain and improve app reliability.
- Understand how the app is used so it can be improved.
Operational partners
- Kaptin may use trusted operational partners to run, protect, verify, host, maintain, and support the service.
- These partners may process limited information only for those purposes and under confidentiality, security, and legal obligations.
- The partners Kaptin uses today: Hetzner, whose servers in Germany hold the app’s data; Backblaze and Cloudflare, which store and deliver public photos; Netlify, which hosts this website; Google Firebase, for notifications and crash reports; OTPIQ, which sends phone verification codes; Resend, which sends account emails; Rasedi and the payment methods it offers, which process payments; and Google and Apple, for sign-in.
- Football scores and statistics come from ESPN. Some club crests and player pictures load straight from ESPN’s image servers, which see your device’s internet address, as any website does; no account data is sent to ESPN.
- Kaptin does not sell personal data or allow partners to use personal data for their own advertising.
Data sharing
- Kaptin may share limited information only when needed to operate the app, protect users, provide support, process requests, or comply with law.
- What other people see: signed-in players can see your nickname, username, profile photo and city, your profile, and the games, teams and rankings you take part in. Visitors who are not signed in see nicknames and games, but not photos or cities. Messages are seen only by the members of the chat.
- Kaptin may disclose data if required by law, legal process, or to protect users, the app, or the public.
- Kaptin does not sell personal data.
Account deletion and privacy choices
- Users can delete their account from Account Settings inside the app.
- Users can also email contact@kaptin.net with the subject “Kaptin account deletion request”.
- Deletion removes the account and related profile records from active app systems unless retention is required for security, fraud prevention, legal compliance, or dispute handling.
- Photos and voice messages you delete are removed from storage by an automatic cleanup.
- Users may contact support to ask what data is associated with their account.
Children and age-sensitive use
- Kaptin is not directed to children under 13.
- If a user is under the age required by local law to consent to digital services, they should use Kaptin only with parent or guardian permission.
- If a parent or guardian believes a child provided personal data without permission, contact support for deletion assistance.
Security
- Kaptin uses reasonable administrative, technical, and organizational safeguards designed to protect account data.
- Kaptin does not describe internal security measures publicly because doing so could reduce their effectiveness.
- No system is perfectly secure. Users should use a strong password and contact support if they believe their account is at risk.
International processing
- Operational partners may process data in countries different from the user’s country.
- Where required, Kaptin relies on appropriate legal bases and provider safeguards for processing.
Changes to this policy
- Kaptin may update this policy when app features, providers, legal requirements, or privacy practices change.
- The effective date on this page will change when the policy is updated.
